This Privacy Policy describes how Zrubix Solutions Pvt Ltd (“we”, “us”, or “our”) interacts with your information across our Web Platform, Mobile Applications (Android/iOS), Windows Applications, and Browser Extensions.

It is important to understand that our tools act as connectors to your existing Zoho ecosystem. The actual storage and control of your business data remain within your own Zoho Analytics and Zoho WorkDrive accounts.

2. Information Classification

We distinguish between two types of information:

2.1 Account Information (Collected by Us)

To provide access to our platform, we collect limited personal information directly from you:

Name and contact details (email address, phone number)
Login credentials for the Zrubix platform
Subscription and billing details

2.2 Client Data (Accessed via API)

This refers to the business data, files, and analytics you view through our platform:

Storage: All Client Data is stored exclusively in your Zoho Analytics and Zoho WorkDrive accounts.
Our Access: We transfer this data in real-time to display it on your dashboard.
No Persistence: We do not permanently store, archive, or retain copies of your Client Data on Zrubix servers.

3. App & Extension Permissions

To provide specific features in our Mobile Apps, Windows Apps, and Browser Extensions, we request access to certain device capabilities. These permissions are used solely for the functionality described below:

📍 Location Services

Why we need it: To enable geospatial workforce management features, including real-time attendance verification and proximity-based task assignment during active work sessions.

Data Handling: Location data is collected only when the "On-Duty" or "Work Mode" status is active. This data is transmitted to the organization's specific Zoho instance for logistical planning and is not used for third-party advertising.

📸 Camera & Storage

Why we need it: To allow you to capture images, scan documents, or upload files directly into your forms.

Data Handling: Files captured or selected are uploaded via API directly to your Zoho WorkDrive. Zrubix does not retain a copy of these files.

🧩 Browser Extension

Why we need it: To read the URL of the active tab to provide contextual information (e.g., matching a client profile in Zoho to the website you are visiting).

Data Handling: We do not store your browsing history. URL data is processed temporarily in RAM to perform the lookup and is then discarded.

📱 Device Identifiers

Why we need it: To ensure security and manage "Per User" licensing limits (preventing one account from being shared across unlimited devices).

4. Data Control and Usage

Important Disclaimer on Data Control

Zrubix Solutions Pvt Ltd has no control over the content, nature, or sensitivity of the data you choose to store in Zoho and view through our platform. We act solely as a processor/interface. We do not monitor, analyze, or use your Client Data for any purpose other than displaying it to you.

We use your information for the following purposes:

To authenticate your identity and grant access to the platform.
To establish API connections with your Zoho accounts upon your request.
To process your subscription payments.
To improve platform performance and fix technical issues (Crash Analytics).

5. Third-Party Integrations (Zoho)

Our service is dependent on third-party services, specifically Zoho Corporation:

Zoho Analytics & WorkDrive: Your data is governed by Zoho’s Privacy Policy and Terms of Service. We recommend reviewing their policies regarding data security and retention.
API Access: When you connect your Zoho account, you grant us permission to read/write data via API solely for the functionality of the Zrubix platform.

6. Data Security

While we do not store your business data, we secure the transmission of data:

Encryption in Transit: All data transferred between your Zoho accounts and our platform is encrypted using SSL/TLS protocols.
Access Controls: Strict authentication measures are in place to ensure only authorized users can access their respective data.

7. Your Rights

You have the right to:

Access and update your Zrubix Account Information.
Revoke our API access to your Zoho accounts at any time (this will stop the Zrubix platform from functioning).
Request deletion of your Zrubix account (this will not affect data stored in your Zoho accounts).
Revoke App Permissions (Camera/Location) via your device settings at any time (this may limit app functionality).

8. Cookies and Tracking

We use cookies solely for session management and authentication purposes to keep you logged in. We do not use cookies to track your activity across other websites.

9. Children's Privacy

9.1 Account Registration

Our Platform is intended strictly for business professionals aged 18 years or older. We do not knowingly allow individuals under the age of 18 to create accounts or subscribe to our services. If we discover a user account belongs to a minor, we will terminate the account immediately.

9.2 Client Data (Business Data)

We understand that your business data (stored in Zoho) may legally contain information about minors (e.g., if you are an educational institution).

Because Zrubix acts solely as a data interface and does not monitor or store your business data, you (the Client) represent and warrant that you have obtained all necessary parental consents for any data regarding minors that you process through our tools. Zrubix assumes no liability for the specific content of the data viewed through our platform.

10. Changes to This Policy

We may update this Privacy Policy to reflect changes in our technical infrastructure or legal requirements. We will notify you of any material changes via email or platform notifications.
